Privacy Policy
Last updated: 13 August 2026
Grapes & Greens (“we”, “us” or “our”) respects your privacy. This notice explains how we collect and use personal information when you visit grapesandgreens.co.uk, contact us or join our newsletter.
Who we are
Grapes & Greens is the controller of the personal information described in this notice. You can contact us about privacy at info@grapesandgreens.co.uk.
Information we collect
- Contact enquiries: your name, email address, optional telephone number, enquiry category, message and the date and delivery status of your enquiry.
- Newsletter subscriptions: your first name, email address, subscription status and information needed to record or honour your consent and preferences.
- Technical information: limited server and security logs such as IP address, browser type, device information, requested pages, timestamps and error information.
- Information you choose to provide: any other personal information included in correspondence with us.
How and why we use your information
- To receive, store and reply to enquiries. We rely on our legitimate interests in communicating with people interested in our podcast, partnerships and services, and where relevant on taking steps at your request before entering into a contract.
- To send the Grapes & Greens newsletter and manage subscriptions. We rely on your consent. You can withdraw consent at any time by using the unsubscribe link in an email or contacting us.
- To operate, protect, troubleshoot and improve the website. We rely on our legitimate interests in maintaining a secure and effective website and, where applicable, compliance with legal obligations.
- To establish, exercise or defend legal claims and meet legal or regulatory requirements where necessary.
We do not use personal information for solely automated decisions that have legal or similarly significant effects.
Who receives your information
We share information only where needed to run the website and provide the service you request. Recipients may include:
- our WordPress hosting, website administration, backup and security providers;
- our email and SMTP providers, which deliver contact messages;
- EmailOctopus and the Make automation service used to operate newsletter signup and subscription workflows;
- professional advisers, regulators, law enforcement or other parties where disclosure is required or permitted by law; and
- a purchaser or successor if our organisation or relevant assets are reorganised or transferred, subject to appropriate confidentiality protections.
Podcast pages may link to or embed services operated by YouTube, Spotify, Apple Podcasts, Amazon Music and Podcast Index. When you load embedded content or follow those links, the relevant provider may receive technical information and apply its own privacy policy.
We do not sell your personal information.
International transfers
Some service providers may process information outside the United Kingdom. Where UK data protection law requires it, we use providers or arrangements that offer an approved transfer mechanism and appropriate safeguards. You may contact us for more information about safeguards relevant to your information.
How long we keep information
- Contact enquiries: normally for up to 24 months after our last meaningful communication, unless a longer period is needed for an ongoing relationship, legal obligation or claim.
- Newsletter records: while you remain subscribed. If you unsubscribe, limited information may be retained on a suppression list so that we respect your preference and do not contact you again by mistake.
- Technical logs: only for the period reasonably needed for security, troubleshooting and hosting operations. Exact periods may be set by our hosting or security provider.
We may retain information for longer where required by law or necessary to establish, exercise or defend legal claims. We delete or anonymise it when it is no longer needed.
Cookies and similar technologies
WordPress and our hosting services may use strictly necessary cookies or similar technologies for security, administration and functions you request. The site’s default theme and companion plugin do not intentionally set advertising or behavioural analytics cookies.
The homepage newsletter widget and embedded third-party media may connect to external providers and those providers may use their own technologies. If we introduce non-essential analytics, advertising or other optional technologies, we will update this notice and provide an appropriate consent control before using them where required.
Security
We use reasonable technical and organisational safeguards designed to protect personal information. No internet service is completely secure, but we limit access to people and providers who need it and review our arrangements as the website develops.
Your rights
Depending on the circumstances, UK data protection law may give you the right to:
- ask for access to your personal information;
- ask us to correct inaccurate or incomplete information;
- ask us to erase or restrict the use of your information;
- receive certain information in a portable format;
- object to processing based on legitimate interests; and
- withdraw consent at any time, without affecting processing already carried out lawfully.
You have an absolute right to object to the use of your personal information for direct marketing.
To exercise a right, email info@grapesandgreens.co.uk. We may need to verify your identity. Rights can be subject to legal conditions and exemptions.
Complaints
Please contact us first so we can try to resolve your concern. You also have the right to complain to the UK Information Commissioner’s Office. Information about making a complaint is available at ico.org.uk/make-a-complaint.
Children
This website is not directed at children under 13 and we do not knowingly collect their personal information. If you believe a child has provided information to us, please contact us.
Changes to this notice
We may update this notice when our services, providers or legal obligations change. The latest version will be published on this page with a revised date.
